Support Macros Kit

Your helpdesk charges per seat every month — and still leaves the writing to you. $42 once buys the reply system.

Zendesk runs $19–115 per agent per month and locks AI-suggested macros behind Suite Professional + a $50 Copilot add-on — its own plan table calls "pre-written responses" a feature while the content stays yours to write (checked 2026-09-26). Outsourced agents start at $1,400 a month — and their pitch is "you run the playbook, we bring the team." The closest one-time product on the shelf is $33.03 for 60 macros locked to Freshdesk. This kit is the missing piece: the audit → write → install → guardrail → measure → refresh loop as 32 files you own — 120+ ready replies, a universal import CSV, install guides for Zendesk, Freshdesk, Intercom and Help Scout, escalation rules and a QA scorecard. First pass ≈ one afternoon; reply #121 costs $0 extra. One payment of $42 — no subscription.

What's inside the kit

One zip, 32 working files — the support response loop (audit → write → install → guardrail → measure → refresh), the 50-ticket audit worksheet, the weighted macro-priority scorecard, 120+ reply templates in 7 categories, a universal import CSV, install guides for four helpdesks, the escalation SOP with a banned-phrase checklist, the AI-agent guardrail pack, the weekly QA scorecard and the quarterly refresh cadence. No software to install, nothing to subscribe to.

Audit

Count your real tickets first

The 50-ticket worksheet sorts your inbox into 12 standard types, and the priority scorecard (frequency 40, time saved 30, risk 20, brand touch 10 — weights sum to 100) orders your build queue. Worked examples recompute by hand: 92.5 builds now, 27.5 deserves skipping.

Write

120+ templates in 7 categories

Orders and shipping (20), returns and refunds (15), account access (15), bugs and outages (20), billing and subscriptions (20), feedback (10), goodwill and social (20). Every template carries "use when" guidance, one clear voice, and {curly}/{square} placeholder rules mapped per platform.

Install

One library, four helpdesks

macros-import.csv carries all 120 templates (id, category, title, body, placeholders). Freshdesk takes the CSV import directly; the Zendesk, Intercom and Help Scout guides walk the paste path click by click — each with an end-to-end test you send to yourself before rollout.

Guardrail

When a macro is the wrong answer

The escalation SOP lists the six situations that route to a human — security reports, legal language, above-limit money, public heat, safety, emotional weight — plus the four limits you write down before install day. The banned-phrase checklist kills the ten replies that quietly promise too much.

AI-ready

An approved-answer feed for your bot

The AI-agent guardrail pack turns approved macros into a Q/A/SCOPE/STALE feed with a fallback-to-human rule, plus a 10-point pre-flight test before any customer meets your bot. Eight drafting prompts (ticket export → new macro) sit behind a mandatory human fact-check gate.

Measure + refresh

QA weekly, refresh quarterly

The weekly scorecard (10 weighted criteria, sums to 100) samples 10 tickets in 20 minutes; the monthly health review retires a macro at 12 months of zero use; the quarterly refresh is a fixed 30 minutes with a changelog. Metrics-tracker CSV included.

What this kit will not tell you

No outcome promises. Macros shorten the path from question to answer; they do not conjure patience, policy, or a good product. The kit installs the writing system and the measurement cadence — it makes no claims about your response times, CSAT, or revenue. Anyone promising those is selling you a number.

Your policies stay yours. Every template that touches money, returns, or delays carries [brackets] where your real policy goes — the kit ships policy-neutral on purpose. It is a business-process document, not legal advice: refund rules, data requests and disputes belong to your counsel. The guardrails make sure a template can't invent a promise your shop can't keep.

English files, real hours. The kit's files are in English — the working language of most support teams. And it is a system, not a robot: the first pass is one afternoon (audit 45 min, top-10 templates ~1 hour, install 45–90 min, first QA pass 30 min), then minutes a week and a fixed 30-minute quarterly refresh.

How you'll use it

From "the same 10 questions eat my week" to a library your team (or your bot) answers from — in one afternoon.

Hour 1 — audit

Sample 50 tickets, rank the repeats

Tag 50 recent tickets into the 12 standard types and score your top candidates on the weighted scorecard. The queue tells you exactly which ten templates earn install-first status — usually order status, returns, password resets, and the dunning pair.

Hours 2–3 — write & install

Fill your policies, load the library

Replace {shop_name} once, resolve the [policy brackets] with your real rules, and load the templates: CSV import on Freshdesk, click-by-click guides elsewhere. The end-to-end test (one reply to yourself) catches any leftover placeholder before a customer does.

Week 1 onward — guardrail & measure

Route the exceptions, QA ten tickets a week

Post the escalation one-pager, fill your four limits, and run the 20-minute weekly QA pass. Monthly, the health review retires dead macros; quarterly, the 30-minute refresh re-syncs policies — and the optional AI pack feeds your bot approved answers only.

One price. Every reply after the first thousand is free.

No per-seat fee, no monthly agent invoice, no per-macro upsell — the pricing models this market already uses enough.

Frequently asked questions

Is this a service or a software tool?

Neither — on purpose. Software rents you the feature slot for the macros; outsourcing rents you the people. The expensive part is the middle: the reply content and the rules for using it. That middle is a system, and this kit is that system as files you own — installable on the helpdesk you already pay for.

What exactly do I get?

A zip with 32 working files: the six-stage loop map with time budgets, an 8-step novice SETUP guide, the 50-ticket audit worksheet, the weighted priority scorecard with a worked pipeline CSV, 120+ reply templates across 7 categories, the universal macros-import.csv, install guides for Zendesk / Freshdesk / Intercom / Help Scout, the placeholder-syntax map, the escalation SOP, the banned-phrase checklist, the tone guide, the AI-agent guardrail pack with a 10-point bot test, 8 drafting prompts behind a mandatory fact-check gate, the weekly QA scorecard, the monthly library health review, the metrics-tracker CSV, the quarterly refresh SOP and the changelog template. Markdown and CSV — nothing to install.

Will this cut our response times?

We can't promise that, and you should be skeptical of anyone who does. What changes with the kit: your repeated questions have pre-written answers with your policies filled in, your team routes exceptions instead of improvising, and a weekly QA sample shows you exactly which replies drift. Faster is a common side effect of that — it's your measurement, not our promise.

My helpdesk isn't one of the four — will it work?

Yes, with one extra step. The library is platform-neutral text: the universal CSV opens in any spreadsheet, and any helpdesk that can store a canned reply can take a pasted template. The four guides teach the pattern (naming scheme → placeholder mapping → end-to-end test), which transfers to Gorgias, Plain, HelpCrunch or a plain Gmail signature folder.

I'm a solo founder / I run a VA team — does it fit?

Both. Solo: the kit is the difference between retyping your best reply and pressing macro. Teams and VAs: the escalation SOP, banned-phrase list and QA scorecard are the training manual you'd otherwise write from scratch — and the license covers using the kit on client inboxes (each practice needs its own license).

What is the refund policy?

If the kit doesn't fit how you work, write to us within 14 days of purchase and we refund in full — the files are yours to keep or delete. One refund per purchase; we only ask for optional feedback.

The same 10 questions eat your week. Answer them once — properly — and keep the file.
